Staff Separation or Change of Employment
As per California State University Information Technology Security Policy 8030.0.300, and the SJSU Information Security Program, access rights must be promptly revoked from information resources upon termination of employment, or when job duties no longer provide a legitimate business reason for access, except where specifically permitted by campus policy or by the Information Authority. Unless otherwise authorized in writing, when an employee voluntarily or involuntarily separates from the campus, information system privileges, including all internal, physical, and remote access, must be promptly revoked. Staff members have a 30 day grace period after their last day of employment before their e-mail accounts are flagged for deletion.
Student Separation or Change
While you are taking classes at MLML, your account and email will be maintained. At the end of your last enrolled semester, a 1-year grace period starts, keeping your accounts active and allowing you to transition off of MLML’s system. If you re-enroll within that grace period, your 'active' status will be reestablished. At the end of MLML’s 1-year grace period, you will receive warnings and your accounts will be deleted.
Faculty Separation or Change
To maintain continuity between absent semesters and meet reporting requirements faculty enjoy a 250-day grace period after their last day of employment before their accounts are flagged for deletion. For distinguished professors receiving Emeriti appointments upon retirement email accounts are maintained indefinitely.
